Administration Executive Responsibilities:

  1. Communication Management:
    Handle incoming/ placing calls, taking and relaying messages, and handling incoming and outgoing communications efficiently and professionally.
  2. Requests and Queries:
    Address executives’ requests and inquiries promptly and professionally in a clear and concise manner.
  3. Scheduling and Reminders:
    Manage diaries, schedule meetings, appointments, and provide timely reminders with precision and clarity.
  4. Facilitate Effective Meetings:
    Prepare agendas, capture meeting minutes accurately, and ensure follow-up on action items with clear communication.
  5. Travel Arrangements:
    Arrange travel logistics with attention to detail and effective communication with parties concerned.
  6. Reports and Presentations:
    Generate reports, presentations, and briefs to high standards with professional written and verbal communication.
  7. Front Office Coverage:
    Handle front desk duties effectively, while standing in for the designted person during breaks and leave.
  8. Ensure Data Accuracy & Accessibility:
    Maintain and organize documents, records, and databases for easy access and accuracy, ensuring compliance with office procedures and processes.
  9. Insurance Policy Administration:
    Process insurance claims, follow-ups, and renewals efficiently.
  10. Provide Support:
    Offer assistance with various administrative tasks as needed, communicating effectively with team members.

Administration Executive Requirements:

  • Proven Experience:
    Demonstrated experience as an Administrative Executive with strong written and verbal communication skills in English.
  • Experience in Due Diligence:
    Ideally, experience in due diligence processes.
  • Tech Proficiency:
    Strong proficiency in MS Office suite.
  • Organizational Skills:
    Exceptional planning and time management skills.
  • Up-to-date Awareness:
    Stay abreast of advancements in office technology and applications.
  • Multitasking Ability:
    Ability to prioritize and manage competing tasks effectively.
  • Effective Communication:
    Excellent written and verbal communication abilities in English.
